What is LetterStream and How Does It Work?
LetterStream is an online print-and-mail service. You upload your documents, add recipient addresses, pick mailing options, and from there LetterStream prints, inserts, and provides it to the USPS or FedEx for delivery. You don’t need to leave your home or desk! You can now avoid the Post Office!
How do I send mail with LetterStream?
Simply create a free account, click Send Letters, and follow the steps from there! You’ll be able to provide your document(s) addresses, select your mail type (e.g., First-Class, Certified, etc.), review your proofs, and then submit!
Most jobs can be built in just a couple minutes.
What kind of mail can i send?
You can send various types of mail through your LetterStream account, such as:
- USPS First-Class Mail: Regular letters without tracking or proof of delivery.
- USPS Certified Mail: Includes tracking and optional proof of delivery via Electronic Return Receipt (ERR).
- Postcards: Available in 2 different sizes, with the same delivery speed as First-Class Mail.
- Coupon Booklets: For recurring payments, sent via First-Class mail.
- FedEx 2Day Mail: Fastest sending with tracking and optional proof of delivery via Electronic signature (FedEx 2Day is only available for pre-approved businesses).
- Registered Mail: For international mailings that require tracking.
Is there a minimum number of pieces I must send?
No, there is no minimum quantity… LetterStream is built to handle anything from one piece to tens of thousands!
How fast will my mail go out?
We guarantee a 2-business-day mailout, although you’ll find that we’re really fast, so many jobs go out before the guaranteed mailout date. 95% of all LetterStream mail is sent by next business day. 50% of all LetterStream mail is sent the same day. If you need a guaranteed faster mailout, choose:
- Expedite processing: next business day mailout
- Rush processing (before 3pm Arizona time): same business day mailout
Each option is shown in your shopping cart with its exact mailout date included.
How fast is mail delivered?
We do not have any control over the delivery side of the process. Most First-Class letters reach recipients in 3–7 business days, Certified Mail in 3–7 business days, and FedEx 2Day delivery within 2 business days.
FedEx 2Day mail is handled by FedEx and is available for pre-approved businesses.
United States Postal Service (USPS) Marketing mail has an estimated delivery timeframe of 5-20 business days, and delivery speed for USPS Registered mail varies drastically due to international processing.
Do i need to send you any materials?
You don’t ever need to send us physical materials. LetterStream supplies all paper and envelopes needed to complete your mailings.
What file types do you accept?
Address lists must be uploaded as comma-separated values (CSV) files. For documents, we recommend uploading portable document format (PDF) files, but other common formats are also accepted such as Word and Excel.
How do i add or upload addresses?
You can manually type addresses or upload an address list for larger mailings. Or, if you have a text-based PDF that already includes the names and addresses, you can simply upload that and our system will be able to extract the address information!
What if I'm not sure which mailing options to choose?
We offer various mailing options. Here’s an overview of the most common mail types:
- First-Class Mail for fast USPS delivery and professional letters.
- Certified Mail when you need tracking and proof of mailing/delivery.
- FedEx 2Day when it’s urgent and time-certain.

Can I see or approve a proof before anything mails?
Yes, in fact, this might be the most important step! The platform provides an online proof/preview step so you can see how it’s going to be printed and mailed before submitting payment.
How do I track my letters after they are mailed?
Tracking depends on the mail type chosen (e.g., First-Class Mail does not providing tracking, while Certified Mail does). Job status updates are also available in your account history, along with tracking details for trackable mailings.
Is my data secure / do you support HIPAA-sensitive mail?
LetterStream takes security seriously, and our website is equipped with industry-standard encryption and security features to protect your data throughout the mailing process. Whether uploading files or accessing account information, your data remains secure.
LetterStream is proud to maintain HIPAA certification for all employees, which allows us to securely handle and process mail containing Protected Health Information (PHI).
What if something looks wrong or I need help?

Who uses Letterstream?
LetterStream serves individuals and businesses (small, medium, to large) who send business-critical mail communications. Letterstream’s StreamLogic ensures their print-to-mail operations (known as The Stream) produces every piece of mail with the highest possible speed, accuracy, and reliability that users can trust.
Some common industries: Homeowner Associations (HOA) and property management companies, law firms, credit repair agencies, healthcare industries, third-party administrators, charity organizations, recall notice companies, financial institutions, SaaS companies, accounting firms, governments, and many more.
What if my letter never gets delivered?
If your letter hasn’t been delivered and it’s been longer than 10 business days, you can:
- Check the mail type. Only trackable products (e.g., Certified Mail, FedEx 2Day) let you confirm delivery beyond a recipient saying they didn’t receive something.
- Confirm the job has been mailed. It should be in Mailing Complete, and at least 10 business days past the mail date. After 10 business days:
- Ask recipients to re-check their mailbox/mailroom.
- Look for signs it arrived to others (replies, calls, payments).
- Watch for returned mail (often due to a bad address).
Still unsure? Contact USPS with the tracking number and they’ll be able to locate a specific piece within their delivery system.
Can I cancel or change a mailing after submitting?
You can cancel a mailing up to a certain point, but we’re fast so you’ll need to act quickly if you think there is an error. You can click EDIT to the right of any mailing to see what options are available at that time.
- Pause Job – this allows you to pause a mailing in it’s current status, preventing it from travelling further through our production processes.
- Delete Job – this allows you to delete a mailing before we’ve started to work on it, avoiding any cancellation fees.
- Stop and Shred Job – this allows you to cancel a mailing after we’ve already started to work on it, and will result in cancellation fees.
If none of these options appear, or if your job shows under the “Mailing complete” section, it cannot be stopped or modified in any way.
